One company, endless opportunities.
Project Coordinator
Location: Steinbach and Kleefeld
Reports To: Design Leads and Project Manager
Position Type: Full-Time (Office-based with occasional site visits)
Compensation: TBD, dependant on experience
Position Summary
The Project Coordinator is the "air traffic controller" of our landscaping operations. You are responsible for the critical gap between a signed contract and a finished backyard. Your mission is to ensure that crews have exactly what they need, exactly when they need it, while keeping our clients informed and our schedule optimized.
Key Responsibilities
1. Purchasing & Material Logistics
Procurement: Order all hardscape materials (stone, pavers, lumber), softscape (plants, sod), and bulk materials (soil, mulch) based on project estimates.
Vendor Relations: Maintain professionally strong relationships with suppliers and track deliveries to ensure materials arrive on-site exactly when the crew is ready for them.
Inventory Tracking: Manage the "holding yard" inventory and reconcile packing slips with invoices to ensure billing accuracy.
2. Strategic Scheduling
Crew Dispatching: Build and manage the weekly master schedule for multiple crews, balancing weather delays, equipment availability, and project deadlines and ensure clear and timely communication with the team.
Subcontractor Coordination: Schedule and confirm specialty partners (electricians, irrigation techs, etc) to ensure they integrate seamlessly into our timeline and follow the specified design plan.
Permit Management: Ensure all necessary local permits and utility locates (Call Before You Dig) are secured before work begins.
3. Communication & Support
Client Liaison: Act as the primary point of contact for project timelines, keeping homeowners updated on start dates and progress.
Crew Support: Provide crews with "Project Packets" including site maps, material lists, and utility locations, and check in on a daily basis to ensure all aspects of the project are going to plan.
Change Orders: Track any changes made in the field and ensure they are documented for final billing.
Qualifications
Experience: 2+ years in project coordination, logistics, or construction administration (landscaping/hardscaping experience is a massive plus).
Tech Savvy: Proficiency with scheduling software (e.g., SynkedUp) and QuickBooks.
Logistical Mindset: Ability to solve "the puzzle" of scheduling—reorganizing 10 moving parts when a rainstorm hits or a truck breaks down.
Communication: Exceptional phone and email etiquette; ability to be firm but professional with vendors and empathetic with clients.
Detail-Oriented: You are the type of person who notices if an order for 500 sq. ft. of pavers is missing the matching sand and sealer.
Why Work With Us?
Stability: Year-round employment in a growing company.
Impact: You are the reason our projects stay profitable and our crews stay productive.
Benefits: Benefits Program, PTO, Paid Holidays, Cell Phone, Great Work Environment, Work-Life Balance
